Job Description
The Responsibilities of the Role:
- Provide end-to-end support to Operations for Human Resource related functions as required and specified by Operation such as Recruitment, Employee Disciplinary and Relations, Expatriate Management and Personal Administration, Compensation and Benefits related matters.
- Function as a reliable communication intermediary between HR Corporate and Operation in ensuring resolution of all Recruitment, Employee Disciplinary and Reaction, Expatriate Management and Personnel Administration, Compensation and Benefits related matters.
- Conduct New Hire Induction, explain on the benefits and terms and conditions, send email to the new hires after completing the Induction and obtain employee acknowledgement on the Induction documents, save the email acknowledgement, or obtain physical document sign off for face-to-face induction session.
- Adhere to the Confirmation SOP and complete the end-to-end process: - Confirmation due listing, employee assessment form completion, confirmation and extension probation letter issuance, employee sign off and documentation to the department server or
- Ahere to the Extension Contract SOP and complete the end-to-end process: -Extension Contract due listing, PAD handling, extension contract letter issuance, employee sign off and documentation to the department server or Personal file.
- Manage Personnel Action Form (PAF) handling variable payout, employee movement, transfer and redundancy process as stipulated in the SOP. Ensure the approval of CFO is completed for PAF with a monetary change, completion of the documentation and employee sign off to the department server or Personnel files.
- Handle voluntary resignation process accurately and in a timely manner by insurance of the acceptance of resignation, update last employment date in the SES portal, submission of the PAF to Employee Relation department for expatriate employee, deactivation of the floor access card, exit clearance and exit interview participation.
- Ensure involuntary separate handling is managed on a timely manner and submission of the PAD to the Employee Relation department for letter issuance, update last employment date in the SES portal and deactivation of the floor access card.
- Respond to the daily email enquiries from internal and external matters relation to Human Resources, payroll, medical coverage, Salary slip, EA form and PCB Table II. Send an escalation to the next level for cases that require future attention.
- Issuance of floor access cards on a timely manner upon receiving the Physical Access Card form from the line manager and rectification of the floor access if required, deactivation of floor access card for involuntary leavers upon received the PAD from Operation.
- Assist Operation other ad-hoc administrative function upon Operation request such as system access deactivation creation, facilities management, monthly expenses requisition submission and purchase requisition to acquire company equipment invading stationery, or company property.
- Organize and compile document for employee claim submission for SOSCO and Insurance for Death benefits with guidance from line manager.
- Assist and participate in ad-hoc/ special project as assigned from time to time due to business requirement.
Skill Requirements:
- Diploma and above.
- Good command of spoken and written English and Bahasa Malaysia.
- Preferably with contact centre experience.
- At least 1 year’s work experience in current role.
- Excellent organization and management skills.
- Proficient in MS Office applications.
