Job Description
The Responsibilities of the Role:
- Expatriate Management (70%):
- Organize and verify necessary documents for new and renewal employment pass (EP), dependent pass (DP), and social visit pass (SVP) applications submitted through the Expatriate Service Division (ESD), MDEC expats system.
- Handle offboarding procedures for expatriates, including the cancellation of employment pass (EP), dependent pass (DP), and social visit pass (SVP) applications.
- Experience in handling Philippine Overseas Employment Administration (POEA).
- Act as the company representative, coordinating with MDEC Cyberjaya, Immigration Putrajaya, and other authorities on matters such as relocation, loss of passport, transfer of endorsement, change of position, special pass issuance, overstay clearance, and permissions for work and study.
- Liaise closely with hiring managers to understand their business demands from expat management perspective to meet hiring needs in a timely manner.
- Monitor expiry dates and initiate renewals proactively to avoid disruptions.
- Develop and maintain expatriate policies and procedures in line with Malaysian laws and company standards.
- Continuously seek process improvements to enhance the expatriate experience and streamline administration.
- Manage ad-hoc HR tasks related to global mobility or assignments as needed.
- Industrial Relations (30%):
- Conduct induction training.
- Maintain IR system data.
- Conduct reference checks for candidate’s/existing employee disciplinary records for internal applications, rehiring, and payroll-related activities. Support processes such as cash advances, promotions, performance reviews, internal transfers, and contract extensions.
- Develop and manage announcements related to government regulations relating to employment matters. Assist with company-wide Employee Relations programs and activities, including handling staff grievances, documentations and supporting internal communication efforts.
- Issuance of HR letters, including non-confirmation, non-renewal, AWOL, termination, and warning letters, ensuring compliance with the Employment Act 1955, Industrial Relations Act 1967, and company policies.
- Prepare IR documents, attend and participate in IR activities including handling staff disciplinary issues, conducting investigations, and participating in domestic inquiries.
Skill Requirements:
- Degree in Human Resource Management or equivalent.
- Good command of written and spoken English and Bahasa Malaysia.
- Minimum 2 year of experience in expatriate management, immigration, or mobility services.
- Dynamic, highly motivated and a result – oriented team player with good interpersonal skills.
- Strong sense of integrity and commitment to ethical behaviour.
- Demonstrates strong initiative and the ability to work independently, while also thriving in collaborative, team-oriented environments.
- Experience liaising with governmental bodies and immigration agencies.
- Excellent communication and interpersonal skills with cultural sensitivity.
- Willing to learn and share attitude.
- Strong knowledge of Malaysian immigration regulations and employment laws applicant will have an added advantage.

The Package :
- Attractive Basic Salary – up to RM3,500.
