Job Description
The Role:
- Responsible for handling the digitalization of documents related to student visa applications.
- This includes identifying and correcting scanning errors, ensuring all files are saved accurately in the appropriate folders, and organizing documents based on predefined requirements.
- The role requires attention to detail, adherence to data management protocols, and consistent documentation accuracy to support the visa processing workflow.
The Responsibilities of the Role:
- To ensure that all collected documents from front desk are scanned properly according to their respective application number.
- To ensure that all scanned applications are saved in the file server.
- Collect the new applications from the front desk every two hour.
- Segregate documents inside each application using the bar-coded cover note prior to scanning.
- Split documents inside each application using JIM checklist and KPT checklist posterior to scanning.
- To ensure all additional documents are scanned properly and saved in their respective application folder.
- Highlight any downtime or technical issue to the Line manager for further escalation.
- Undertake any other ad-hoc tasks assigned by the Line Manager or any other superior from Operations as and when required.
- When operational situations arise, management will require the executive scanning to stay back and complete all assigned duties.
Skill Requirements:
- Able to read, write and speak English and Malay.
- Computer knowledge: MS Office, MS Outlook and Internet Explorer.
- Good multitasking ability.
- Fast typing skills.
- Good problem-solving skills.
- Customer service oriented.
- Willingness to learn and fast learner.
- Minimum SPM, Diploma / Degree preferably with prior working experience (in contact center or customer service environment) or equivalent combination of education and experience.
- Basic Computer knowledge: MS Office (Word, Power Point & Excel).
- Highly proficient in spoken and written English and Bahasa Malaysia.
- Display excellent communication and willingness to learn/fast learner.
- Able to work as a member of a team independently.
